POSITION MANAGEMENT / VACANCY WORKFLOW NOTIFICATIONS
Zambion’s Position Management/Designations module allows you to capture data relating to a position such as the role the position reports to, the position description, salary ranges / banding information, qualifications required, position reference number and the total headcount required for that type of position. This module will be fully integrated with our soon to be released Recruitment module, so when an employee is terminated in the system that has a headcount associated with it, Zambion will automatically trigger a Vacancy Workflow Request process which sends automated emails to the relevant managers / HR notifying them of the vacancy and outlining the next steps/ the process they need to follow. Vacancy notification and email content is based on your company’s workflow and recruitment process to suit your needs.
Our Recruitment Dashboard provides you with an overview of all your vacancies where you can see at a glance how many applications you have received and the status of the vacancy. You are also able to search, view, manage and archive your vacancies from this page. To view and manage applications, simply click on the position on the Recruitment Dashboard to open up the Application Tracking System.
Our Application Tracking system provides you with a clear snapshot of each applicant and automatically captures applicant details such as their name, date applied, their Cover Letter, CV and other documents. In addition to this the system will also offer the following features, ensuring you know exactly where you are at with each applicant!
Make life easy with automated job postings. Zambion provides a number of options on how you can manage your job advertising requirements. For high turnover roles you can have a pre-set job advertisement template linked to a position and once the approval process has been confirmed, Zambion can automatically post the job onto pre-selected sites such as Seek, TradeMe, LinkedIn etc. Alternatively, you can write your own advertisement, or copy a previously uploaded advertisement, select where you would like it advertised and Zambion does the rest!
In addition to the Online Application and Questionnaire Forms you are also able to create customisable Candidate Evaluation forms for further screening, interview and reference check stages which can be completed online or offline. Evaluation form questions are also saved into a question library for quick selection next time. Forms that have been completed by the candidate are stored in the Applicants Profile section. This means all of your recruitment related documents are kept in one secure location and can be easily found and printed when required.

In addition to capturing standard information such as personal details, CV and Cover Letter, you are able to add customised, job specific questions, with the option of having applications automatically screened or rated based on their responses as part of the selection process. Application form questions are saved into a question library, so you can easily select the questions you would like to use on future application forms and you can also save online forms as templates for easy use next time.
Our Candidate Management page allows you to easily communicate with your applicants individually, in groups, or all at once. For each candidate you are able to rate their application from a customisable drop down list, so you can easily see the applications you would like to proceed with. You are also able to send pre-set emails to candidates such as application response emails and add personal notes as you go. Our Candidate Management pages saves you significant time in managing and responding to candidates and helps ensure no one accidently gets forgotten, providing candidates with a good impression of your business, regardless of their application outcome.
